- Booking a trade stand
You can book a trade stand pitch using the online form within the website of Adventure Northside. By completing a trade stand booking form you are entering into a contract with Central England Events, the Organiser of Adventure Northside. All contracts are fully binding and non-refundable, making you fully liable for the total amount of the trade stand pitch booked. The booking deadline is 31-08-15. The booking is only valid after the fee has been paid in full and confirmation from the organiser Central England Events is acknowledged.
- Terms of payment
The trade stand pitch fee is due upon receipt of invoice within 7 days.
- Money-back guarantee
If an exhibitor has attended Adventure Northside 2015 by booking/paying for a trade stand pitch, and for any reason does not want to book a trade stand pitch for Adventure Northside 2016, the exhibitor retains the right to a full refund of his pitch fee.All refund claims should be made in writing to Central England Events, the deadline of refund claims is 31st Oct 2015.Central England Events

Any refunds do not cover additional fees such as waste charges, or the hire of gazebos, tables, chairs, etc. The money-back guarantee only applies to exhibitors who have booked and paid for their trade stand pitches up to 31st January 2015.
- Trade stand description
Trade stand booking forms must contain an accurate description of goods to be exhibited or sold. Only items of this description will be allowed.
- Sub-letting trade stands
Unless by prior written permission, the sub-letting of all or part of a trade stand by an exhibitor is strictly forbidden.
- Content of trade stands
Under no circumstances will auctioning, raffles, lotteries, tombolas or pick-a-ticket stands be allowed at Adventure Northside without prior written permission from Central England Events.
- Promotional material
Except by prior written permission from Central England Events, the distribution of promotional flyers, leaflets, posters, banners or any other advertising material outside the confines of a Trade Stand pitch is forbidden. This includes all walkways and roads within the venue including entrances/exits. Offenders will be billed for this offence.
To meet our insurance requirements, all moving vehicles on site must be ‘road legal’. Supervision when unloading/loading unregistered or non-road legal display vehicles is the responsibility of the trader. An exhibitor’s car park will be available. Being a pedestrianised area, vehicle movement is restricted within the showground area between the specified show opening hours as stated above.
- Food & drink on trade stands
Whether complimentary or purchased, no food or beverages is to be distributed from Trade Stands.
- Public address systems
Unless by prior written permission from Central England Events, the use of amplified public address systems and/or music is strictly prohibited. Acoustic advertising must not disturb neighbouring exhibitors . The exhibitor is responsible for the registration and payment of fees (GEMA , GEZ) themselves.
- Electric power supply / generators
Electricity is available upon request for an additional fee, simply- click on the Registration tab in the above menu for cost. Traders may not share electricity with their neighbours. The use of generators is banned.
- Staffing your trade stand
Trade stands must be staffed at all times during opening hours of Adventure Northside. Visitors obviously expect a full day’s trading for their admission fee, therefore trade stands must remain staffed and fully stocked until 18:00 hours on Friday 2nd October 2015 and Saturday 3rd October 2015 and until 17:00 hours on Sunday 4th October 2015.
- Breakdown of trade stands
For exactly the same reason, the previous rule also applies to the breakdown or dismantling of trade stands on the final day – Sunday 4th October 2015. Unless an announcement is made to the contrary by Central England Events, the breakdown of trade stands before 17:00 hours on Sunday 4th October 2015 is strictly prohibited. This closing time is one hour earlier than Friday and Saturday to give traders the opportunity of leaving at a reasonable hour on the final day of the show; 17:00 hours is a fair time. Traders breaking this rule will be fined 500 € and quite possibly not invited back the following year.
Dogs under control are welcome – clean up mandatory! Dogs are the responsibility of the owner, thus if an animal were to injure somebody or cause damage during the course of the show, the owner will be liable.
- Barbecues / open fires
Barbecues and open fires are both perfectly acceptable, providing they do not pose a fire hazard, plus are raised so the grass is not scorched or marked in any way. Traders will be charged for damage to grass.
Site facilities include toilets, showers, mains drinking water, an Elsan emptying point for human waste.
- Adverse weather
Should inclement weather prevent the positioning or removal of your exhibit, you should contact the Event Office to arrange a suitable tow vehicle. Under no circumstances should this be attempted by any other party. If inclement weather or adverse ground conditions prevent the use of your chosen or allocated Trade Stand pitch, the organisers reserve the right to arrange an alternative pitch without prior notice. Any ground damage will be charged for at cost. In the event of exceptional weather conditions, exhibitors must provide and use protective trackway in order to prevent ground damage and consequent charges from the organisers. You are strongly advised to carry your own cancellation insurance for any event you may exhibit at. Should the event be postponed, abandoned, cancelled or re-located for whatever reason, the organiser shall not be liable in any way in respect of expenditure, liability or loss incurred by the trader. No refunds under any circumstances. Central England Events retains the right to relocate Trade Stands, Display or Exhibits for whatever reason. The organiser reserves at all times the right to refuse an application for exhibition space without explanation.
- Cancellations / changes / force majeure
All cancellations by the trader of a non-refundable trade stand pitch should be made in writing to Central England Events. If unforeseen events occur that make execution of the event impossible , the organiser must inform the exhibitor immediately. In principle, then the claim to stand rental is voided.
- Reassigning a trade stand
If the exhibitor decides to cancel their trade stand pitch after it has has been booked and paid for, 100% of the rent is to be paid as compensation for costs to the organiser. Should a pitch be reassigned upon request of the trader, then 20% of the original pitch fee will be charged to the trader as a ‘reassignment fee’.
- Public safety
Upon entering the venue, it is the responsibility of the trader to ensure that exhibition equipment, vehicles and all or any other property is in a condition that is safe for all persons and who may reasonably and forseeably come into contact with or be affected by it. That you, your servants and agents conform to all statutory and local conditions, directions and advices of any whatsoever, wheresoever and to whomsoever. All goods or services sold at the show should conform to current trading standards legislation.
- German trading legislation
Appertaining to German law, all Health & Safety requirements including risk assessments, public liability insurance, shelters and the good order/operation of all vehicles & equipment within the confines of trade stands (whether hired or owned) are the responsibility of the trader. Exhibitors are required to take out the necessary insurance against fire and all other risks including third party claims – basically the general insurance conditions for Haftplfichtversicherungen. The exhibitor must also indemnify the Central England Events against all claims, damages or expense whatsoever in any way arising out of his attendance or his exhibits on the event site. The completed booking form for a trade stand shall be deemed as confirmation by the exhibitor that the necessary insurance cover has been obtained, and the exhibitor agrees to indemnify Central England Events, their staff and their agents against all and any claims which may arise.
- German trading standards
Exhibitors must comply with all relevant German trading standards legislation; this involves safety, fair trading and quality. There will be representatives from the local Trading Standards department on site during the Show. Please contact your local council if you require more information. Central England Events will encourage the consumer to forward any complaints to the Trading Standards Office.
- Property damage and personal injury
The Promoter accepts no liability for property damage and personal injury. If a fault can be detected, this is limited to intent and gross negligence.
- Fire extinguishers
It is the responsibility of the trader to ensure that safety items such as multiple fire extinguishers, whether mandatory or recommended, are visible and in good working order.
The organiser will provide gate security during the exhibition days thus ensuring that no unauthorised vehicles gain access to the venue. However, traders are advised to provide additional security to protect their goods and property. Central England Events accepts no liability for loss or damage howsoever caused.
- Rubbish disposal
As is usual at German exhibitions, traders have to pay an additional disposal fee for municipal waste. Please click on the Registration tab in the above menu for prices.
